What has to be on an invoice?

When do I have to send an invoice?

For business customers you send the invoice by the 15th day of the month after the month in which you supplied. For private individuals you are usually not obliged to issue one at all.

How long do I have to keep an invoice?

What does reverse charge mean?

Under the reverse charge your customer pays the VAT to the tax authority, not you. You charge no VAT and put "Reverse charge" on the invoice with your customer's VAT number. It applies to supplies to a business in another EU country, and in certain sectors such as construction.

What is a pro forma invoice?

A pro forma invoice is a provisional one, used for instance to show in advance what something will cost. It is not a real VAT invoice and your customer cannot reclaim VAT with it.

Do invoice numbers have to be sequential?

Yes. An invoice needs a sequential number that identifies it uniquely, and each number is used only once, so there is no gap and no duplicate in your records.

What is an e-invoice or Factur-X?

An e-invoice can be read straight into your customer's accounting. Factur-X is a pdf with the invoice data attached: a person reads the pdf, the accounting package reads the attachment. Nobody has to retype the amounts.

How do I work out the VAT?

You multiply the amount before VAT by the rate. At 21% on €100 that is €21 of VAT. If there are several rates on one invoice, you work each rate out separately.

Invoicing from the United States

The answers above are European, and almost none of them carry across the Atlantic. There is no VAT in the United States and no federal law setting out what an invoice has to say — it is a commercial document, shaped by state sales tax rules, your contract, and what your customer needs before they will pay.

What goes on a US invoice?

Your details and your customer's, an invoice number and date, any purchase order number, what you supplied, sales tax on a line of its own, the total, and the payment terms with the due date written out. Numbering needs no unbroken sequence, and from tax year 2026 a client files a 1099-NEC only above $2,000.

Do I charge sales tax on my invoice?

Only if you have nexus in your customer's state, what you sold is taxable there, and they have given you no exemption certificate. Since Wayfair, sales alone can create nexus — commonly at $100,000 into a state in a year. Register for a permit before you collect, and give the tax its own line.

Official rules

In the EU, the full and current rules are set out by the European Commission on the page VAT invoicing rules. In the United States there is no equivalent single source: the IRS covers federal income and information reporting, while sales tax belongs to each state — the Federation of Tax Administrators lists every state's revenue department.

These pages are a summary, not legal advice. In the EU invoicing is set at EU level with national detail; in the US it is set state by state. Check with the authority for where you are, or ask your accountant, if your situation is unusual.
